FILM TRIPS — PRIVACY POLICY

Film Trips LLC (“Film Trips,” “we,” “our,” or “us”) is a Florida limited liability company operating a two-sided marketplace that connects local businesses with independent creative professionals. We respect your privacy and are committed to handling your personal information responsibly. This Privacy Policy describes how we collect, use, store, and share information across our website, mobile site, and related platform services (collectively, the “Platform”).

By using the Platform, you consent to the data practices described in this Policy. If you do not agree, please discontinue use of the Platform. Capitalized terms used but not defined here have the meanings given in the Film Trips Terms of Service (filmtrips.co/terms).

  1. Who This Policy Applies To

This Policy applies to all individuals who interact with the Film Trips Platform in any capacity, including:

• Creators — independent contractors who list and lead content experiences on the Platform.

• Clients / Businesses — organizations or individuals who book Film Trips experiences.

• Ticketed Event Attendees — individuals who purchase tickets to public Film Trips events.

• General Visitors — anyone who accesses the Film Trips website without creating an account.

  1. Information We Collect

2.1 Information You Provide — Creators

When you register as a Creator or manage your listing, you may provide:

• Name, email address, phone number, and password.

• Profile information, including biography, portfolio content, and service listings.

• Banking and payout information, collected and processed securely by Stripe. Film Trips does not store your full banking or payout details.

• Tax identification information, as required for 1099 reporting under US tax law.

• Photos, videos, and creative content you upload to your profile or listing.

• Communications with Clients and Film Trips through the Platform messaging system.

2.2 Information You Provide — Clients & Businesses

When you register as a Client or complete a booking, you may provide:

• Name, email address, phone number, and password.

• Business name and relevant details about your organization and booking needs.

• Payment and billing information, collected and processed securely by Stripe. Film Trips does not store your full card or payment details.

• Booking preferences, communications, and any information shared with a Creator through the Platform.

• Review content submitted after a completed booking.

2.3 Information Collected at Ticketed Events

When you purchase a ticket to a Film Trips Ticketed Event:

• We collect your name, email address, and ticket purchase information.

• By purchasing a ticket, you consent to being photographed and/or filmed during the event as part of the documented experience. This consent is described in our Terms of Service (Section 9.3).

• If you are a parent or guardian purchasing a ticket on behalf of a minor, we collect your consent acknowledgment on the minor’s behalf.

• Edited content featuring your likeness is delivered to you under a non-exclusive commercial license following the event, as described in the Terms of Service.

2.4 Information Collected Automatically

When you access the Platform, we automatically collect:

• Device information (browser type, operating system, device type, IP address).

• Usage data (pages visited, time on site, clicks, search queries, referring URLs).

• Cookie and tracking information (see Section 9).

2.5 Information from Third Parties

We may receive information from the following third-party sources:

• Stripe — our payment processor. Stripe provides Film Trips with transaction confirmation and payout status. Stripe’s own Privacy Policy governs how Stripe handles your payment data (stripe.com/privacy).

• Meta (Instagram / Facebook) — we run advertising through Instagram. If you interact with a Film Trips Instagram ad or if your browser visits our website while the Meta Pixel is active, Meta may associate that activity with your Meta account for advertising purposes. Meta’s Privacy Policy governs that data (facebook.com/privacy/policy). You can manage Meta ad preferences at facebook.com/adpreferences.

• Analytics providers — we use Google Analytics and similar tools to understand how users interact with the Platform. These providers receive anonymized usage data.

• Social media integrations — if you connect a social account to your Profile, we may receive limited profile information from that platform.

  1. How We Use Your Information

We use the information we collect to:

• Provide, operate, and improve the Film Trips Platform and its features.

• Process bookings, payments, and Creator payouts.

• Facilitate communication between Creators and Clients through the Platform.

• Deliver Ticketed Event Deliverables to Attendees.

• Enforce our Terms of Service, Cancellation Policy, and platform standards.

• Send transactional communications (booking confirmations, dispute notifications, payout updates).

• Send marketing and promotional communications — you may opt out at any time via the unsubscribe link in any email or by contacting hello@filmtrips.co.

• Detect, investigate, and prevent fraud, abuse, and safety issues.

• Comply with applicable legal obligations, including tax reporting and law enforcement requests.

• Generate aggregated or anonymized analytics that do not identify you personally.

  1. How We Share Your Information

Film Trips does not sell your personal data. We share limited information only as described below:

• Between Creators and Clients — information necessary to facilitate a booking (e.g., names, contact details, booking specifics) is shared between the relevant Creator and Client. This sharing is limited to what is necessary to complete the booking.

• Service Providers — we share information with vendors who support our operations, including Stripe (payments), Google Analytics (analytics), cloud storage providers, and email delivery services. All service providers are required to maintain the confidentiality and security of your information and may not use it for their own purposes.

• Meta / Instagram — we share limited data with Meta for the purpose of running Instagram advertising campaigns. See Section 6 for details.

• Legal Authorities — we may disclose information if required by law, court order, subpoena, or governmental request, or where we believe disclosure is necessary to protect the rights, safety, or property of Film Trips, our users, or the public.

• Business Transfers — in connection with a merger, acquisition, sale of assets, or reorganization of Film Trips, your information may be transferred as part of that transaction. We will notify registered users of any such transfer that materially affects their data.

  1. Content, Bookings & Creator Interactions

5.1 Creator Portfolio Rights

Creators may use content produced during Film Trips bookings for portfolio display and self-promotion, subject to the restrictions in the Terms of Service (Section 8.3). If you are a Client and have designated a booking as private, or if your booking involves sensitive content, the Creator is required to obtain your written approval before any public use of that content.

5.2 Stock Shoot Experiences

Some Creator listings are designated as “Stock Shoot Experiences,” meaning content captured during the booking may be commercially licensed to stock photography or video platforms and other third parties. If you book or attend a Stock Shoot Experience, content featuring you or your business may appear on third-party platforms. This designation is disclosed prominently on the booking confirmation page. See Terms of Service Section 10 for full details.

5.3 Ticketed Events — Photography & Filming Consent

By purchasing a ticket to a Ticketed Event, you expressly consent to being photographed and/or filmed during the event. Edited content featuring your likeness will be delivered to you under a non-exclusive commercial license following the event. The Creator hosting the event retains copyright and may use event content for portfolio and promotional purposes consistent with the Terms of Service.

If you attend a Ticketed Event that is also a Stock Shoot Experience, content featuring you may additionally be licensed to third-party stock platforms. This will be disclosed clearly on the event listing and ticket purchase page before you complete your purchase.

  1. Advertising — Instagram & Meta

Film Trips currently runs advertising exclusively through Instagram, operated by Meta Platforms, Inc. Our advertising use of your data is limited to the following:

• Meta Pixel — we may use the Meta Pixel on our website to measure the effectiveness of our Instagram ads and to build audiences for advertising. The Pixel may collect your IP address, browser information, and activity on our site and transmit it to Meta.

• Custom Audiences — we may upload hashed email lists to Meta to show ads to existing users or to build lookalike audiences. Emails are hashed (one-way encrypted) before transmission and are not readable by Meta in plain text.

• No data sale — sharing data with Meta for advertising purposes does not constitute a “sale” of your data under Film Trips’ policy, as we receive advertising services rather than compensation for your data.

To opt out of Meta’s use of your data for ad targeting, visit facebook.com/adpreferences or use the “Why am I seeing this ad?” feature on any Instagram ad. You can also opt out of interest-based advertising at aboutads.info (Digital Advertising Alliance).

Film Trips does not share your data with any other advertising networks, demand-side platforms, or data brokers. If this changes, we will update this Policy and notify registered users.

  1. Artificial Intelligence — What We Do Not Do

Consistent with our Terms of Service (Section 11), Film Trips does not:

• Submit your personal data, photos, or videos to any AI training dataset, model, or database.

• Use your content to train, fine-tune, or develop any AI or machine learning system.

• License your content to AI data aggregators, scraping services, or synthetic media companies.

Creators are also prohibited from submitting your content to AI training platforms. If you discover a violation of this policy, contact hello@filmtrips.co immediately.

  1. Data Retention

We retain your personal data for as long as necessary to fulfill the purposes described in this Policy, maintain your account, comply with legal obligations, resolve disputes, and enforce our agreements. General retention guidelines:

• Active accounts — data is retained for the life of the account.

• Closed accounts — we retain transaction records, booking data, and communications for [3 years] following account closure to comply with legal and tax obligations.

• Payment data — Stripe retains payment records per their own data retention policy. Film Trips retains transaction confirmation records for tax and dispute purposes.

• Marketing data — email marketing data is removed within 30 days of unsubscribe or account deletion.

When data is no longer required, we securely delete or irreversibly anonymize it.

  1. Security

Film Trips implements commercially reasonable technical and organizational measures to protect your personal information against unauthorized access, disclosure, alteration, or destruction. These measures include encrypted data transmission (HTTPS/TLS), access controls, and secure third-party payment processing through Stripe.

No data transmission over the internet or electronic storage system is completely secure. While we work to protect your information, we cannot guarantee absolute security. You use the Platform at your own risk and are responsible for maintaining the security of your account credentials.

In the event of a data breach that is likely to result in harm to users, Film Trips will notify affected users and relevant authorities as required by applicable law.

  1. Cookies & Tracking Technologies

Film Trips uses cookies, pixels, and similar tracking technologies for the following purposes:

• Essential cookies — required for the Platform to function (authentication, session management, security). These cannot be disabled without breaking core functionality.

• Analytics cookies — tools such as Google Analytics help us understand how users navigate the Platform so we can improve it. These collect anonymized usage data.

• Advertising pixels — the Meta Pixel tracks interactions with Film Trips web pages for the purpose of measuring Instagram ad performance and building ad audiences (see Section 6).

You can control or delete cookies through your browser settings. Most browsers allow you to block or delete cookies; however, disabling essential cookies may prevent you from using key Platform features. You can also opt out of Google Analytics tracking at tools.google.com/dlpage/gaoptout.

  1. Your Privacy Rights

11.1 Rights Extended to All Users

Film Trips extends the following privacy rights to all users of the Platform, regardless of location:

To exercise any of these rights, email hello@filmtrips.co with the subject line “Privacy Request.” We will verify your identity before processing your request and respond within 30 days. In some cases, we may need to retain certain data to comply with legal obligations even if you request deletion.

11.2 California Residents — CCPA

If you are a California resident, the California Consumer Privacy Act (CCPA) provides you with additional rights regarding your personal information:

• Right to Know — you may request disclosure of the specific pieces of personal information we have collected about you in the preceding 12 months, the categories of information, the sources, and the business purposes for collection.

• Right to Delete — you may request deletion of personal information we have collected, subject to certain exceptions (e.g., legal compliance, completing a transaction you requested).

• Right to Non-Discrimination — Film Trips will not discriminate against you for exercising your CCPA rights.

• No Sale of Data — Film Trips does not sell your personal information as defined under the CCPA. We do not share your information with third parties for their independent commercial use.

11.3 International Users

Film Trips is operated from the United States, and your information is collected and processed in the United States. If you access the Platform from outside the US, your data will be transferred to and processed in the US, which may have different data protection standards than your home country.

While Film Trips is not subject to the EU General Data Protection Regulation (GDPR), we voluntarily extend GDPR-aligned rights to all users as described in Section 11.1. We do not transfer user data to countries outside the US except through the service providers named in this Policy (e.g., Stripe, Meta, Google), which maintain their own international data transfer compliance programs.

  1. Minors

The Film Trips Platform is not intended for independent use by individuals under the age of 18. Film Trips does not knowingly create accounts for or collect personal data directly from minors.

Exception — Ticketed Events: Minors may attend Ticketed Events as guests under parental or guardian supervision. When a parent or guardian purchases a ticket on behalf of a minor, the purchasing adult is providing consent for the minor’s participation and for the collection of content (photos/video) featuring the minor at the event, consistent with the Terms of Service (Section 9.3). Film Trips does not create individual accounts for minors and does not retain personal data specifically identified as belonging to a minor beyond what is necessary to administer the event booking.

If you believe Film Trips has inadvertently collected personal data from a minor without parental consent, please contact hello@filmtrips.co and we will promptly investigate and delete such data.

  1. Third-Party Links

The Platform may contain links to third-party websites, services, or creator social media profiles not operated or controlled by Film Trips. This Privacy Policy applies only to the Film Trips Platform. Film Trips is not responsible for the privacy practices or content of third-party sites. We encourage you to review the privacy policies of any third-party site you visit.

  1. Changes to This Policy

Film Trips may update this Privacy Policy periodically to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will notify registered users via email or platform notification at least 30 days before the changes take effect. The updated Policy will be posted on this page with a revised “Last Updated” date.

Continued use of the Platform after the effective date of any update constitutes your acceptance of the revised Policy.

This Privacy Policy is governed by the laws of the State of Florida, without regard to its conflict of law principles, consistent with the Film Trips Terms of Service.
